Before we proceed with registering you in our database, you will need to pass at least one translation test.
You will do the translation tests in MemoQ – our server-based translation software.
This document provides you with general information about MemoQ, how to use and download the software, and other MemoQ functions.
Getting started with MemoQ
If you pass your translation test, you will be registered in our database and we will start to assign linguistic projects from our worldwide portfolio of clients to you.
We use MemoQ for the majority of our projects and therefore we think it is important that you get familiar with this software from the beginning.
We also provide mobile licenses for linguists who does not hold their own MemoQ license.
The first thing you need to do, is download MemoQ, and that you can do from here.
You should choose the version MemoQ Translator pro (which is the first version). Click on the link Download.
When the installation package is downloaded, double click on the file and follow the onscreen instructions.
If you have Mac without a Windows dongle – please inform your Resource team –you can work in the online version of MemoQ (WebTrans).
Downloading the test project
You should have received an email from MemoQ BeConnected with information about the test documents that have been assigned to you.
It should look similar to this:

Here you will see the documents that have been assigned to you, the Server URL, your username and the name of the project (Test Project – BeConnected).
You will also see the deadline (the date and time the translation should be completed by) in red.
You will find a link to translate directly in your web browser with WebTrans, in case you prefer to translate online or you have a MAC. Please note that we strongly advise you not to work online as the QA checkers in the web version are limited.
How to work on an online project with server documents
Your project manager will set up an online project where you participate as either a translator or a proofreader. This article describes how to get started, perform, and deliver your work in an online project setting.
Starting the work: Checking out an online project
To access an online project, you need the MemoQ translator pro edition. You also need a network connection and a user account to our MemoQ server.
When your project manager assigns you a task in an online project, you will receive an email from MemoQ with the following details.
The server address to the MemoQ server hosting the project (91.230.230.252), your username and the project name.
To start working with an online project, follow the steps below.
From the Project menu, choose Check out From Server.

The Check out from server dialog will open. Type the server address in the Server URL box and click Select.

The first time you connect to our server, you have to log in with your username and password to get access to projects. You will be connected to the MemoQ server, and a list of the online projects you are assigned to will display.
In the project list, click on the project you want to work on, and then Check out project. MemoQ will download the documents, any light resources, connect to LiveDocs corpora, translation memories, and the term bases for the project.

Important: When you are checking out an online project, MemoQ will create a local copy of the project – practically, a local project – on your computer. The local copy will synchronize with the master copy on the server. MemoQ will only download documents that are assigned to you.
Tip: You can rename the local copy of the project: after selecting the online project in the list, change the name of the local project at the bottom of the “Check out online project” dialog. This might be useful when you need to check out an online project multiple times.
Working on a document in an online project
You have just checked out your MemoQ project, and you should now see a window with the project and all files assigned to you.

In the Translation tab, you see the documents assigned to you – these are the files you are going to translate.
Double click to open the document you want to translate.
It will open in a separate window.
As you can see, it’s divided in segments and each segment has a number.
On the left side, we have the source and on the right side, we have the target (translation) – see screenshot below.

Short explanation to the picture above:
Left: Source text
Right: Target text (translation)
0%: The match % in the Translation Memory (TM)
Type your translation in the right segment and click CTRL + ENTER to confirm the translation.
The grey window will then turn into green and the translation in the segment is confirmed.

MemoQ will automatically jump to the next segment when you confirm a segment.
If you come across a fuzzy match (where there are some similarities to the Translation Memory, the segment status will look like this:

In the window on the right side, the TM window, you can see what is different between the fuzzy match and the translation memory – what needs to be changed/added/deleted/updated.

As 14 is in BLUE, it means that this word is an addition.
If there are words in RED, it means it was something has been removed.
So change the translation accordingly and according to the present source text, and then confirm the segment.
There are often tags in different segments. Tags usually represents font types, bold text or other formatting.
These should always be copied in the target segment and placed according to where it is in the source.
You can copy the whole source segment to the target segment by clicking on CTRL + SHIFT + S.
In the bottom bar, you can track you progress. TR: % is the percentage you have completed:

Completed all the segments for translation, until the progress is 100%.
There is a couple of things you should do before you deliver your translations
In the translation view, click on the Documents tab. Choose Export and click Export (dialog).
Save the document on your desktop.
Open the documents you saved on your desktop and check your translation in the original document.
Here you can proofread your own translation as a complete text.
If you find anything to change, find the segment in MemoQ, make the changes and click CTRL + ENTER to confirm the change.

Quality Assurance (QA) in MemoQ
Before you deliver your translation in MemoQ, you should run QA check (Quality Assurance) to make sure you have not missed any tags, spaces or other issues.
To run QA, do the following:
Inside the translation view, click on the Preparation tab.
Click on Quality Assurance and choose Run QA.
Make sure “Active document” is chosen, and “Create view of inconsistent translations” are checked, and click OK.
The “Resolve errors and warnings” dialog (the QA result) will open in a separate window.
If the report is empty, you can just close the window.
If there are errors/warning, you can either correct them or mark them as ignore.
You can correct the errors directly in the “Resolve errors and warnings” window, by making the changes in the target box and click CTRL + ENTER to confirm the change.
When you think you are done with the QA, click the button Refresh data, to make sure you did not miss any errors/warnings.
Close the Resolve errors and warnings window.
Spell checking in MemoQ
Last, but not least, you should run a spell check in MemoQ before you deliver your translation.
To run spell check on the documents, click F7/CTRL + F7 while the document is open for translation.
To make sure your spell checker is working correctly in MemoQ, do the following:
Click on the MemoQ tab and choose Options. You will get three new choices, and you should choose “Options” under MemoQ Options.
A new window will open.
Go to “Spelling and grammar” and make sure “Spelling as you type” is checked.
In the drop down list, choose your target language, make sure the options for “Microsoft Word” is checked for both options, and click Apply.
Click OK and close the window.
Delivering a project in MemoQ
When you have completed the translation, QA and spell check in MemoQ, it is time to deliver and return the project.
In the File view, mark the completed documents (use CTRL to mark multiple documents).
Click on the Deliver/Return button.

You should now see a check mark next to the file names, which confirms that the project is delivered.
If you get any error messages, follow the onscreen help to solve them, and then deliver again.
Final words from BeConnected
Please bear in mind that no instructions or terminology is provided for test translations, and you have to use your best judgment.
When the test translation is completed, one of our reviewers will evaluate it and the result will be communicated to you within a few days after delivery.
