These general terms and guidelines are designed for linguists involved with BeConnected, including sub-providers and freelancers.
This document provides practical information to facilitate communication and help with projects assigned to you by BeConnected.

General Terms

As our linguist, we expect that
Your acceptance of a project indicates that you consider yourself to have all of the necessary capabilities and skills to carry out the project in accordance with BeConnected’s guidelines and instructions.
You submit queries or request additional reference material in proper time, prior to the agreed project deadline.
We at BeConnected will do our best to contact the client to help you provide the best services.
You perform according to good industry practice.
This includes researching the project’s topic (e.g. using the Internet), possessing the necessary technical tools and dictionaries at your disposal, proofreading your own translation, and running a spellchecker and any other necessary checks before delivery.
You have a very clear understanding that all of the project materials and projects carried out with BeConnected are confidential.
Therefore, you MUST NOT disclose any information of any kind relating to the work performed for BeConnected to any third party.
You will deliver all projects by the agreed deadline.
You may NOT, under any circumstances, contact or approach a client for whom BeConnected has acted as an agent.

In order to help you, BeConnected will provide:
The files to be worked on by the agreed time.
Any relevant reference material and glossaries, style guides, guidelines and other references.
Timely answers to relevant queries.
Access and license to BeConnected’s MemoQ Server.
Access to BeConnected´s management platform Plunet.

BeConnected’s management system and translation platform

TMS
Once you are registered and approved as a linguist by our Recourse Management, you will receive an email from our TMS (our Management System – https://tms.beconnected.no/, with username and password.
With those credentials, you can log into the system and see all your ongoing jobs and completed projects.
Our Project Managers also issue purchase orders from the TMS, which you will receive via email in PDF format.

MemoQ
BeConnected uses MemoQ for all translation projects. Once you are an approved linguist, you will also receive log in details to our MemoQ Server.
You will have to download MemoQ Translator Pro (http://kilgray.com/downloads) to be able to work on our language server, but we will provide you with a translator license when you work on our projects.

Typical project workflow
Our Project Managers sends out project requests via email.
You can either accept or reject these requests depending on your availability.
Once you accept the project, our PM will upload all relevant files (files for translation, glossary, TM, and reference material) in MemoQ and/or Plunet and you will receive an email from memoQ@beconnected.no, with the name of the project.
You log on to our server, process the project as agreed, run spell check and QA (fix actual errors and mark false errors with Ignore), and then deliver the file(s).
Our Quality Assurance Team will do a final QA of your delivered files, and if anything needs corrections – the files will be returned to you.
Once the file(s) are free for QA errors, our Project Managers will prepare the project for delivery to our client.

Instructions and Guidelines for all projects from BeConnected
Always reply to project request, even though you cannot accept the project.
Delivery deadlines are agreed upon with clients before projects commence, so it is very important to deliver completed jobs to BeConnected by the time and date agreed.
It is preferable to refuse a project than to take on more than you can handle within the agreed deadline.
You are required to give advance notice in the event of your absence, unavailability, vacation or other reason for time away.
It is strictly forbidden to outsource projects assigned to you, unless you are a sub-contractor.
Use of CAT tools: In most cases, you will be required to use MemoQ for our projects, but in some scenarios, you might be asked to use another specific CAT tool.
All files, MemoQ projects, references and instructions, etc., should be opened and checked as soon as a project is received, to make sure they are opening and working correctly.
Always read and follow references material, which can be found in the project in Plunet.
Always read and follow BeConnected’s project instructions, in TMS and/or in the PO and/or in emails from the project manager.
You must use all reference materials, glossaries, style guides and other references provided to you by BeConnected.
Double check your translation/proofreading and read through all work prior to delivery to ensure good quality and to avoid mistakes.
Run QA in MemoQ and make sure that all files are translated etc. before returning the project.
You are required to run a spellchecker prior to delivery (can be done in MemoQ), and you are encouraged to use a QA tool like X-Bench.

Invoicing Guidelines and Instructions
Rates and project prices are made in agreement with our Recourse Management. Projects are paid based on agreed prices, but in some cases, project prices might be agreed.
The total project value will be stated in the PO, which you will receive by email via the TMS.
All invoices will be paid in EUR or USD, and all invoices have to be issued in the relevant currency.
All invoices will be settled by bank transfer.
Value Added Tax (VAT) must be added when appropriate.
All invoices should be submitted in our TMS. We do accept two collective invoice per month.
All invoices must include:
Unique invoice number and invoice date
Provider’s full name and address, as well as BeConnected’s full name and address
Full bank details, including IBAN and SWIFT for Europe or Routing Number for U.S. and other countries
VAT number for both BeConnected and yourself
PO number and project name

We cover our own bank charges. You have to cover yours.

Please ensure your invoices are sent to BeConnected once or twice a month. Also remember that any amount(s) not invoiced within three (3) months after the due date stated on the purchase order will not be paid, according to the agreements we have signed with you.

All invoices will be paid no later than 60 days after the submission date of your invoice.
